How can you complete work when you’re not in my office?
Your virtual assistant will work remotely from their own
equipped office. This means that communication will be achieved
through mediums such as email, phone, fax, post, courier, FTP
transfer, instant message etc. The most common method used is
email. We also use gotomypc.
How does it work?
From initial contact the client explains their project and
timescale. From here an estimate is established complete with
hourly rate, before work commences. The client agrees to
outsource their project and signs a booking form for
confirmation. The client provides their VA with any materials or
information required to complete the task. This will be sent by
email, fax, post, mail or courier. We will then complete your
work within the allotted time scale. The work is then returned
using the same methods. The client then has 48 hours to check
for any errors. An invoice for the work will be sent to the
client and payment is expected within 14 days.
Is it cheaper to hire a temp or part-time employee?
A virtual assistant is a low cost method, when compared to a
temp or a permanent employee. You do not have to pay agency fees
to recruit a temp. Save money by not having to provide training,
equipment or work space. Only pay for the hours worked. You no
longer have to pay for any down time. You are free from
employment obligations such as NI, Sick pay, holiday pay,
insurance, benefits.
Our schedule is extremely tight – can you meet the deadline?
If you have an emergency deadline, we will aim to complete this
work immediately. Lotus PA will never undertake work which
cannot be completed within the required timescale.
Can we meet to discuss requirements?
The majority of work undertaken by Lotus PA is completed without
ever actually meeting the client although if the client is local
we are happy to arrange this. We also work from clients' offices
for things such as book keeping if this is preferred. For
insurance purposes, clients are not able to meet with us at our
premises.
I run my own business and complete my own admin, do I need a
VA?
If you spend considerable amounts of time on non billable work,
a VA will be invaluable. Allow us to take the strain of your
admin work so you can concentrate on networking, sales leads and
maintaining your current client base. Enjoy the luxury of
gaining more time without working late. Extra time will increase
revenue and profit margins.
How secure/confidential is your service?
Complete discretion. Confidentiality of your work, business and
client base is paramount. Sign a confidentially agreement if
required. Computer password protected. Back up clients work on a
daily basis. Anti-virus software and firewall.
Do you offer a collection and/or delivery service?
Lotus PA is based in Harrogate – Free delivery and collection is
available within a 20 mile radius of the office location
What experience do Lotus PA staff have?
We only employ staff with extensive administration and
secretarial experience in order to provide the personal and
professional service our clients expect.
What are the opening hours?
We are very flexible with our working hours. We can work outside
of office hours and at weekends, as required. Lotus PA are open
from 9.00 – 5.00 Monday to Friday. We aim to return all
telephone calls and respond to all emails within 24 hours.
Please note: Work completed between the hours of 7pm and 8.30am
will be subject to an added charge of 25%. Work completed at
weekends will attract an added charge of 50% |
